How to Plan Receptions
--Types of Receptions--
The time of day, number of guests, and your budget will affect the type of reception you decide to plan. For a wedding or event that is held between eight and ten o'clock in the morning, a breakfast reception, either sit-down or buffet style, with coffee, juice, fruit, croissants, and eggs, can be appropriate. A wedding between noon and two o'clock may involve a lunch reception with different salads and cold sandwiches. If budget is an issue, tea and cocktail receptions can be the least expensive. Cocktail receptions are usually held between four o'clock and seven-thirty, and can be popular for receptions held to welcome or acknowledge a VIP. Cocktail receptions might include hot and cold hors d'oeuvres, champagne, wine, punch, and beer, depending on the budget. Dinner receptions are usually between six and nine o'clock. Cocktails and hors d'oeuvres can be served in the first hour, followed by a sit-down or buffet dinner.
--How to Plan a Reception--
When planning for a reception, there are a number of steps you will need to take. First, envision your reception from beginning to end. Where and when do you want it to take place? How formal would you like the reception to be? What kind of food would you like to serve? How about music – will you want a live band, or a DJ? Set a budget, one that is functional and provides for some flexibility. Here is where you must combine fantasy with practicality. Pick a date, and call appropriate venues to find a location for your reception that has availability. Reception halls, banquet halls, hotel ballrooms, and restaurants are common venues for receptions. Interview and hire the vendors that you will need, such as a photographer, video professional, caterer, florist and entertainment.
