Halls and auditoriums are available for social functions that range from weddings and Bar Mitzvahs to birthdays and corporate meetings. Renting a ballroom or banquet hall requires knowing how many people are expected to attend, what date the venue is needed for, and how long the event is going to last. Each function must be planned well in advance to ensure a facility is available to use.
Most facilities have a department that works with customers to plan the function at their location. Planning a function often includes finding a company to cater the party, selecting how the area is to be decorated, and what will happen if it rains during an outdoor event. Special precautions are typically taken for outdoor concerts, weddings, or dances.
Recreation centers, auditoriums, and banquet halls are booked months in advance. Anyone who is planning a gala, conference, or wedding reception must book the venue as quickly as possible for a specific date. Special events that are to be located in ballrooms, including high school proms and wedding receptions, often see an increase in the price of rent during peak months. However, planners can work with the venue and save money by having volunteers decorate the space and hiring a private company to cater the event.

Conferences, charity fundraisers or banquets, seminars, galas, or other types of functions will often be too big for somebody to host at their house, which is why many people like to host a party at a different location. If you have people coming from all over, having a central location makes it easier for everyone to be able to attend. Your needs will determine what type of building you will rent. Ballrooms are perfect for dances or a school prom while an auditorium may be better for a seminar. If you are planning the meeting you will need to have an idea on how many people will attend to ensure that the venue has enough space for them. Banquet halls, auditoriums, and convention centers can be rented for different lengths of time. You may only need some for an hour a two for a single day while others may need it for a few days. If you are having a business meeting, you can ask those that reserve the room for you if it has the required equipment or number of outlets you will need. They may also be able to get the equipment you'll need from another company so you won't have to worry about it.
